For management companies

More buildings per manager, without more email

Your managers spend their days chasing approvals, re-explaining scope to contractors and rebuilding records at hand-over. SquareSync carries that work for them.

Stop chasing approvals

Over-threshold awards route to the board automatically and record each vote. No more forwarding quotes and hoping three directors reply.

One portfolio view

Active operations, contracts up for renewal in 60 days, emergency tickets and open work across every corporation you operate.

Your brand, your domain

White-label with your logo, colours and custom domain. Owners see your company; the corporation still owns its records.

Delegation that sticks

Assign tasks and checklist subtasks to assistants and site staff, with due dates and an audit trail.

Compliance packages

Manager reports, minutes and statutory certificates with a review step and board approval.

Clean hand-overs

Win a building and the records are already there. Lose one and you hand over access — not a box of PDFs.

One manager, more corporations, fewer evenings spent chasing replies.

In practice

Every dollar we spend on your behalf is approved, documented and defensible — and it stays yours.

How management companies describe the platform to their boards.

What changes for a manager on day one

A condominium manager’s day is not short of work; it is short of closure. A quote arrives, gets forwarded to five directors, and two reply. A contractor asks whether they were awarded the job and nobody can say for certain. An owner calls about a ticket raised three weeks ago that exists only as a note. None of that is a skills problem — it is what happens when the system of record is a mailbox.

SquareSync moves that work onto rails. A work request carries its own scope, so every bid is quoting the same job. An award above the corporation’s threshold routes to the board on its own and collects each director’s vote by name, which means the manager stops being the person chasing directors and becomes the person the decision arrives to. Vendor insurance and WSIB clearance are checked before the award rather than remembered afterwards.

Across a portfolio, the difference compounds. One view shows active operations, emergency tickets, open work and contracts coming up for renewal in the next sixty days across every corporation you operate — while each corporation stays strictly separated underneath, on its own address, with its own branding and its own board.

The part managers notice last and value most is what happens at the end of a management agreement. Because the tenancy belongs to the corporation rather than to you, winning a building means the records are already there, and losing one means handing over access on a date rather than assembling a shared drive. Transition stops being a quarter of unpaid work.

Questions we get asked

Do we have to move all our buildings at once?

No. Corporations are onboarded one at a time. Most operators start with one or two, prove the approval workflow, then move the rest on a schedule that suits their managers.

What happens to our data if we stop using SquareSync?

You can export at any time. Corporation records belong to the corporation; your own operator material — templates, internal notes, branding — is yours.

Can we keep our existing accounting system?

Yes. SquareSync is not a general ledger and does not try to be. Approved spend exports to CSV and to QuickBooks Online, so your bookkeeper keeps working the way they already do.

How long does onboarding take?

Under 30 days from contract to daily use for a first corporation, including migrating units, owners, vendors and documents, on a runbook we publish so nothing depends on one person remembering the steps.

Can we use our own domain and branding?

Yes, on Professional and Enterprise. Your logo, your colours and a verified custom domain, so owners and contractors see your company rather than ours. Each corporation underneath still has its own address and its own record.
